A good board meeting provides a space to discuss important business issues, make decisions and establish corporate policies. To maximize the value of every board meeting, you need to plan ahead, control expectations about the amount of discussion feasible, and follow the agenda.

The best way to avoid boring meetings is to establish specific goals for meetings and refer back to those on a regular basis to ensure that the actual meeting is on the right track. Getting too bogged down with reports or technicalities that could have been discussed prior to the meeting is a waste of time and opportunity to have the board members discuss business issues of strategic importance that are not easily solved by the management team on their own.

Think about creating a consensus agenda to cut down on the amount of time spent in meetings. This will allow board members to approve documents quickly and reports that do not require further discussion.

Distribute board packs 3 to 4 days in advance to allow attendees to review them prior to the meeting. This will decrease the time spent reading reports at the event and give attendees an opportunity to ask questions prior to the reports becoming more complex.

Include the word “parking lot” at the end of the board packet and ensure that any items not relevant to the meeting can be left to a later meeting and not interfere with the most important agenda items. This also reduces the chance of important agenda items being pushed to later in the meeting or not being discussed at all.
